Updates to charity reporting this weekend

We’re making some improvements to the reports we provide charities this weekend, here’s what’s happening…

On Saturday 7th March, our new reporting server will go live. This means that all reports will run from a distinct and dedicated server, separate from the server that handles all donations. So it will provide a reporting service that is far more reliable, and much quicker to use, however heavy our other site traffic gets. Whilst we’re moving servers on Saturday, you won’t be able to access the charity account.

Why is it happening?

Some of you may remember that last year, the earlier date of the London Marathon coincided with the heavier use of the charity account as charities tied up their year end accounts and we had to limit access to reporting. During the past ten months, we’ve taken a number of steps to ensure that this does not happen again.

One of the commitments we made was to separate the reporting database from our live database, to avoid a repeat of those data conflicts between reports and donations. So, well in advance of this year’s Marathon, that is what we’ve done.

What does that mean for charities on Justgiving?

  • It means faster and more reliable access to reports.
  • Reports will still look the same, but reporting data will be pulled from a new server.
  • Event, fundraising page and direct donation reports will include all donation data up to midnight on the previous day. So if you run a report on Monday afternoon, it will return data up to midnight on Sunday.

If you have any questions, please don’t hesitate to contact us on charities@justgiving.com or call the charity support team of Molly, Natalie and Axel on 0845 021 2133

We are a small charity that is looking to become a member of Just Giving. a) Can you explain how we can differentiate different donations made for different occasions/events to our charity if we used the Just Giving site.
    b) Is the site confidential, ie if someone donates to us, no-one other than our organisation can see the name or amount that has been donated.
I look forward to your reply

  2. Hi Marilyn, thanks for the comment.

When people donate to you on Justgiving we provide a comprehensive online reporting system that lets you know where all the donations have come from. So you’d get a report (in Excel or CSV) and there will be a column that says what event/site each donation has come from. This area is private to you, so other organisations would not see your donors’ details, or the amounts they donated (unless they donated in public on a fundraising page like http://www.justgiving.com/jemmadeer). You can see an example of that area at http://www.justgiving.com/statements/about_us/charities-tour-4.asp

To find out more about the site, and how it can help you, please go to http://www.justgiving.com/charities

do you provide donors with an email summary after 5 April of the various donations made during the fiscal year ? that would be useful for tax return purposes.

  4. Hi J R, if you log-in to your Justgiving account, you can search for all the donations you’ve made on the site by date.
So you can see all the donations you’ve made in the last tax year and have that to hand for your tax return.

  5. [...] Last year, we had to limit access to charity reporting over the marathon period because our servers couldn’t cope. We said sorry, and committed to making sure it didn’t happen again. Since then,  we’ve spent £1.5 million on investing in the following areas: improving our infrastructure and updating reporting. [...]
